Coordinator - Artistic Planning

An opportunity is available for a skilled Coordinator to join Queensland Symphony Orchestra’s Artistic Planning department. The Coordinator – Artistic Planning provides support to visiting artists, assists with contract administration and ensures planning, logistics, communication, and delivery timelines are effectively managed to support the success of QSO’s artistic program and community engagement initiatives. This position works as a central coordination point within the Artistic Planning department to ensure alignment, clarity and efficiency in delivery.
The Coordinator – Artistic Planning reports to the Concert Manager.
A summary of overarching responsibilities includes:
Coordinate end-to-end activities to support QSO’s Artistic Program:
- Coordinate planning timelines for programmed concerts and artistic projects in collaboration with the Artistic Planning team
- Support the delivery of each project through scheduling, logistics tracking, and internal communication
- Liaise with internal staff, musicians, and external stakeholders to enhance QSO mainstage, commercial and other activities as required
- Provide a full range of administrative support services to the Artistic Department, including Artistic company credit card reconciliation, filing and records management, maintenance of registers and routine databases
Support contract management and engagements with artists:
- Coordinate all guest artist contracts and store and follow up with related items, including marketing materials, payment instructions and riders
- Prepare necessary payroll information and other invoices for payment
- Coordinate all travel and accommodation bookings across Artistic Planning activities, including hotel and travel bookings, per diems, purchase orders, rehearsal and concert schedules for artists, thank-you notes and distribution of feedback and other materials
Providing scheduling and other executive support to the Chief Conductor:
- Manage the Chief Conductor’s diary requirements during QSO project weeks.
- Coordinate internal and external meetings, appointments, and stakeholder engagements for QSO Chief Conductor during QSO project weeks.
Essential Criteria
- Experience and understanding of arts and/or event organisations
- Current “C” Class Driver’s Licence
- Current Blue Card (working with children check)
- Demonstrated ability to be accountable, use initiative and be outcomes focused in a dynamic delivery environment
- Demonstrated verbal and written communication skills of an exceptional standard
- Excellent organisational and coordination skills, with strong attention to detail
- Excellent computer skills including Excel
- Strong interpersonal skills and a responsive communication style
- An ability to work independently, in a team and across teams
- Due to the nature of the role and organisation, capacity to work outside of normal business hours
Desirable criteria
- Diploma or higher education qualification in a relevant field such as Music, Arts Administration, Business
- Experience working with orchestral musicians or other performing arts organisations
- Experience using Customer Relationship Management software
- Ability to contribute ideas for the improvement of work processes and the work environment
