Events Coordinator
Full-time, 6 month opportunity

Queensland Symphony Orchestra is seeking to engage an Events Coordinator for a 6 month contract role in our Development team. This role ensures events contribute positively to the achievement of the financial and relationship goals of QSO and delight our supporters.

Key Responsibilities under the direction of the Business Development Manager include:
Develop guest lists for all QSO events in conjunction with the Development Managers, for approval by the Director of Development and CEO.
Deliver our events which include pre, interval and post functions at our concert hall performances, and events for our Education and community performances, Regional Tours, Music Chair Program, Open Rehearsals and our annual QSO partner dinner.
Manage seating arrangements for all invited concert guests, including obtaining the necessary approvals
Scheduling invitations, tracking RSVPs, catering, event design, venue hire, briefing sheets and delivery of tickets and concert programs to the venue.
Prepare and issue EDM’s associated with events – invitations, reminders, post event thank you's, etc.
Draft social posts around events and partner deliverables
Deliver and track partnership benefits through QSO’s Customer Relationship Management system, Tessitura
Advance planning of 2026 events based on performance schedule
Prepare partnership reports, acquittal reports and track the financial costs of contracts
Manage the administration of partnership communication and marketing
Manage partnership assets on the QSO website
Prepare approval documents for marketing and communication (internal and external)
Represent QSO at events as needed.
Essential Criteria
Relevant tertiary qualifications
Attention to detail
Experience planning and delivering events
Experience of maintaining and managing a database
Ability to collaborate with colleagues and all members of the organisation in the achievement of strategic objectives
Advanced computer literacy across a range of software packages (Microsoft Excel included)
Ability to work independently and use initiative
Ability to manage multiple tasks within conflicting deadlines
Ability to communicate effectively with people at all levels of the organisation and with our patrons, partners, supporters and stakeholders
Must enjoy working within a high-performance team
Desirable criteria
Commercial business acumen, or experience in a business environment
Knowledge or understanding of the not-for-profit and arts sectors
Experience with a CRM, MYOB and Canva
Current “C” Class Driver’s Licence
